My report figures do not match

Two numbers that should agree do not. Usually they are answering different questions,
and the first job is to work out which two you are holding.

What each figure actually covers

Figure Covers Changes afterwards?
X report The cash balance so far, read without closing it Yes — it is a snapshot
Z report A cash balance, closed No
Sales report A period you chose, generated and kept No
Analytics Whatever date range is on screen Yes — it follows the range
Accounting sync A day's entries posted to your bookkeeping No, once posted

A Z report and a sales report for "the same day" disagree whenever the cash balance
did not start and end with the day. A balance opened at 07:00 and closed at 23:00
covers a different span from midnight to midnight.

Analytics, bounded by the range you choose

The usual causes, most common first

The periods are different. A cash balance is not a calendar day. Compare a Z
report with the balance it closed, not with a date.

Unpaid orders. An order placed and not paid is counted as sold, not as
taken. A day with parked or partly paid orders shows more sales than money, and
correctly so. See An order is stuck or shows the wrong status.

Cash movements that were not recorded. Money taken from the drawer with the
drawer simply opened leaves the till expecting cash that is not there. Recorded
movements explain themselves; unrecorded ones look like a shortfall. See Pay money
out of the drawer
.

Refunds. A refund reduces takings on the day it is made, not the day of the
original sale. A refund today for a sale last week makes both days look wrong if you
expect them to match each other.

Trainee mode. Orders rung up while it is on are left out of your sales reports —
every order, from every till, including real customers served during the session. If
a day looks inexplicably low, check whether it was left on. See Use trainee mode to
train new staff
.

Card payments that never settled. A payment the terminal took and the till did
not record is missing from your figures and present in your bank. See A card payment
failed
.

Cash specifically

Count the drawer, then compare with the X report before closing. A difference at that
point is still explainable - somebody remembers the afternoon. The same difference
found a week later is not.

Result Usual cause
Drawer is short Cash taken out without recording it, or change given wrongly
Drawer is over A cash sale rung up for the wrong amount, or a payment recorded as cash and taken another way

Which figure to trust

For anything anyone else relies on — an accountant, a tax return, a dispute — use the
sales report or the Z report. Both are fixed once made. Analytics moves with
the range you pick, and is the wrong thing to quote.

See Find your sales reports and Close the shop with an X or Z report.

If they still do not reconcile

Work out the exact two figures, their exact periods, and the difference. Then contact
support with those three things — see Get help from inside the app. "The report is
wrong" cannot be investigated; "the Z report for balance X says 4,310 and the sales
report for that day says 4,455, a difference of 145" can.
