What the system records for the tax rules

Denmark and Norway both require a till to keep an unalterable record of what it sold.
This explains what Loving Loyalty records on your behalf, and the few things that are
left to you.

This describes what the system does. It is not tax advice. For what your business
must do, ask your accountant or the authority.

What is recorded automatically

Record What it is
Every order What was sold, when, at what price, and at what VAT rate
Every payment Method, amount, time and status
Refunds and payouts As their own entries, on the day they happen
Cash movements Money in and out, with a reason, against an open cash balance
Z reports A closed cash balance, fixed once closed
SAF-T The standard file, on request, for the period you ask for

The Z report is the one that matters

An X report is a read of the balance so far and changes as the day goes. A Z
report closes the balance and is fixed
. It cannot be edited or regenerated
differently afterwards. That is what makes it the record of a trading day.

Which means: close your cash balance every trading day. A balance left open runs
past midnight and covers a span nobody asked for, and the day it should have recorded
no longer has a Z report of its own.

See Close the shop with an X or Z report.

VAT is recorded per line, not per order

Each order line carries the rate it was sold at, and the rate depends on the item and
how it was sold: eat-in and takeaway can differ, which matters in Norway. Changing a
rate afterwards never re-rates orders already placed.

So the record says what was actually charged at the time, which is the point. See
Sell items at a different VAT rate.

The file the authority asks for

SAF-T, requested for the period you are asked to cover:

Country Authority Article
Denmark Skattestyrelsen Produce a SAF-T file
Norway Skatteetaten Produce a SAF-T file for Skatteetaten (Norway)

Request only the period asked for. A file covering more discloses more than it needs
to.

What is left to you

The system records what happens on the till. It cannot record what happens beside it.

  • Cash taken out of the drawer without recording it is invisible to every record
above, and shows up only as a shortfall nobody can explain. Use Money in/out.
See Pay money out of the drawer.
  • Trainee mode leaves orders out of your sales reports. Left on during trading,
real sales are excluded from your reporting. See Use trainee mode to train new
    staff
    .
  • Unpaid orders are recorded as sold and not as taken. Settle or cancel them
rather than leaving them. See Clear the order list at the end of the day.
  • Everything not through the till, such as purchases, wages and anything bought
on the business card, is for your accountant.

A daily routine that keeps the records straight

  1. Open a cash balance when the shop opens.
  2. Record any money in or out as it happens, with its reason.
  3. Clear unpaid orders before closing.
  4. Take a Z report to close the balance.
  5. Check trainee mode is off.

Each step takes seconds, and none can be reconstructed afterwards.
