Give your accountant what they need
Your accountant asks for something, and the Manager has several things it could be.
This is which one to send.
What to send for what they asked
| They ask for | Send | Where |
|---|---|---|
| "The figures for last month" | A sales report for the month, as Excel | Analyze → Sales reports |
| "Proof for the 14th" | The Z report for that day's cash balance | The till |
| "Your SAF-T file" | A SAF-T file for the period requested | Shop → Skattestyrelsen or Skatteetaten |
| "The customer data" | A customer export, only if they really need personal data | Analyze → Customers |
| "Why is a day missing from the ledger?" | The sync history for that day | Shop → Integrations → Accounting, then History |
Send a sales report, not an Analytics export
Both produce a spreadsheet and they are not the same thing.
A sales report is generated for a period and kept. Exported again next month it
says exactly what it said today.
An Analytics Export to Excel covers whatever date range was on screen when you
selected it. A range that is not a clean month will not reconcile against anything, and
nobody can tell from the file which range it was.
For anything your accountant will rely on, use the report. See Find your sales
reports.
If the accounting integration is connected
Each day then posts into the bookkeeping by itself. What your accountant needs from
you is the exception: the days that did not post, and why.
Point them at What the accounting integration does — for accountants, which explains what arrives,
when, and what a missing day means.
Four questions to agree before connecting
- Which accounts should sales post to?
- Which VAT account?
- From what date should posting start? Earlier than their last hand-entered
period and the same takings arrive twice. - Where do payouts and cash movements belong?
See Connect Dinero, Connect e-conomic or Connect Uniconta.
Things that surprise accountants
Sales and bank do not match line for line. Sales are posted on the day they
happen; the acquirer pays out later, net of fees, often batching days together.
Reconcile the card account against the payouts.
Unpaid orders are sold, not taken. An order placed and not paid counts as a sale
and not as money. A day with parked orders shows more sales than cash, correctly.
Refunds land on the day they are made, not the day of the original sale.
Trainee mode removes orders from reports entirely: every order rung up while it
was on, from every till. If a period looks inexplicably low, ask whether it was left
on. See Use trainee mode to train new staff.
If the figures are questioned
Give them the exact figures, their exact periods, and the difference. "The report is
wrong" cannot be investigated; two numbers and their periods can. See My report
figures do not match.
